Hi, Paula here with the Tessera Virtual Business Solutions. And I want to take a minute today to share with you a brand new feature that Asana has just released. This feature is similar to a previous feature that we’ve all used–project templates. This one has us go down to the task level and we are able to create Asana task templates.

So let me share my screen and I will show you how that’s done. All right.

When to use a task template

So sometimes you need a template for a task that you do over and over that has multiple steps that you use in your subtasks. So I just created this simple writing template task. And so it’s very basic. Obviously, if I were using this, I would use a lot more detail in my subtasks, but you get the idea here.

How to create an Asana task template from an existing task

And what I have here is a simple task. It’s inside of a project and I called it “writing template.” I’m now going to turn it into a task template by clicking on my three dots here, “convert task to template.” And it’s working in the background and then you can see here you can toggle on the things you want it to bring over each time.

So one thing to remember is if you’re using a task that you’ve used in the past that you say, Hey, I need this to be a template. What it will do is it will actually complete the task and convert that actual task. So if it’s one you’re already working on, you may want to just make a duplicate of it so that it still is an active task for you. But now we have this writing template here, it moved to “completed” because I have some rules set up in this specific project.

Creating a task from a template

So when you want to use this template, all you have to do is within your project, you’ll want to add a new task and you see I’ve tested it here. So there are several, but you just pick the template here and it’s going to pull it in and add that new task. Here it is. It’s called “writing template.”

Obviously, when you create the task, you would rename it to something more applicable. So let’s go ahead and open it larger so we can see. So instead of “writing template”, it’s now going to be “March writing.” I’m just going to call it that. I did not have an assignee on it, so it didn’t bring over, but you can tell it to bring over the assignee and make sure you have one assigned to it in the template and the due date.

And then as you see the different subtasks here are ready for you to use. Again, you can go in and put more details on these subtasks. You can go into these subtasks and add descriptions or other links or different things that you might need to use to start your writing. It’s important to note that this is available to Premium and above users.

Who has access to Asana task templates?

So the free version is excluded from this, at this point. But it’s a great way to save your time and your energy trying to remember the steps in a multi-faceted task.
